TERMS AND CONDITIONS

A: DEFINITIONS OF TERMS
• Baggage: Client’s personal belongings packed for travel.
• Booking: A provisional order request by the client for tour or travel services.
• Cancellation Fee: A fee deducted from the total safari/travel program to cover any advance expenses incurred by Safari Group Tanzania.
• Cancellation Policy: A document that outlines the procedures and conditions that both client and service provider must follow when terminating a booked program.
• Consequential Damages: Liability for damage caused in the course of providing or using Safari Group Tanzania services.
• Departure: The date when the client starts the safari/tour program or returns home.
• Deposit: An advance payment made to the bank account for the booked safari program.

• Privacy Policy: A document that discloses the ways Safari Group Tanzania collects, uses, discloses, and manages a customer or client’s sensitive data.
• Refunds: Cash returned to the client after all refund policy procedures have been met.
• Reservation: An initial place in the tour program subject to final confirmation.
• Travel Documents: Necessary documents required for travel, including VISA, passport, insurance documents, vaccination certificates, etc., varying depending on the client’s country of residence.
• Trip: A complete tour program.
• Unforeseen Circumstances: Events that unexpectedly occur after the client has started the safari.
B: BOOKING TERMS AND CONDITIONS
These terms apply to bookings made by direct clients or agents acting on behalf of the client. Bookings and contracts are deemed to have been concluded in Arusha, Tanzania and will be interpreted according to the laws of the United Republic of Tanzania.
Safari Group Tanzania reserves the right to change prices, associated booking terms, cancellation fees, and conditions at any time without prior notice. This includes changes due to government tax adjustments or third-party service fee alterations affecting the trip price.
C: OUR TERMS AND BOOKING
Safari Group Tanzania accepts bookings based on these Terms and Conditions. We reserve the right to reject any booking that violates these terms, with or without providing reasons for rejection.
D: DEPOSITS AND PAYMENTS
A 30% deposit is required to secure a booking. This deposit forms part of the trip payment and is offset against the total cost. If full payment is not made at least 30 days before departure, the company reserves the right to cancel the booking, and the deposit will be forfeited.
Clients booking within 30 days of the tour departure must pay the full amount immediately to secure their reservation.
All bank charges are the client’s responsibility, including transaction fees.
E: BOOKING AMENDMENTS
Amendments made to existing bookings by the client (e.g., departure dates, air tickets, accommodation, number of participants, etc.) will incur a handling fee of USD 50 per booking. Additional costs resulting from the amendments will be borne by the client, excluding the amendment handling fee.
F: BOOKING PROCEDURES
Submit an online booking via our website
https://safarigroup.co.tz /. By submitting the booking form, you agree to the Terms and Conditions and Privacy Policy.
Once we receive the booking form and confirm program details, we will provide the full program schedule and associated costs. Both parties must confirm the program details and budget before we send the contract and full invoice. A 30% deposit is required to confirm the reservation.
Upon receipt of the deposit, we will issue a confirmation letter and send additional safari information. Final payment is due 30 days before departure.
G: CANCELLATIONS
Cancellation Policy:
• Cancellation by the Client: If the client cancels the booking, the following cancellation fees apply:
o 90+ days before departure: 15% of the program cost.
o 89-30 days before departure: 30% of the program cost.
o 29-14 days before departure: 50% of the program cost.
o 13-7 days before departure: 75% of the program cost.
o 0-6 days before departure: No refund.
• Cancellation by Safari Group Tanzania:
If the company cancels the booking, all deposits will be refunded to the client. However, if external factors prevent the program from going ahead, the client will bear prior expenses.
Cancellation insurance is compulsory for all clients.
H: CHANGES BY THE CLIENT
Clients may change to an earlier departure date, subject to availability, by paying a transfer fee of USD 25. Standard cancellation fees apply.
I: CHANGES BY THE COMPANY
Safari Group Tanzania reserves the right to change itineraries, routes, or services due to local conditions. The company will not be liable for any claims due to changes in services during the tour. In case of cancellation due to external factors, all payments will be refunded in full.
J: BAGGAGE
Baggage is restricted to 12kgs in a soft bag (including camera equipment). Extra baggage can be stored or transported for an additional fee.
The client is responsible for their own baggage, and the company is not liable for loss or damage.
K: TRAVEL DOCUMENTS
It is the client’s responsibility to ensure they have all necessary travel documents (passport, visas, vaccination certificates, etc.). Safari Group Tanzania will assist where possible but assumes no liability for incomplete or incorrect documentation.
L: INSURANCE
Comprehensive travel insurance is required, covering cancellation, emergency evacuation, medical expenses, baggage loss, theft, and personal injuries.
Safari Group Tanzania is not responsible for any costs resulting from emergencies.
M: INDEMNITY
Safari Group Tanzania is not liable for loss or damage due to errors, delays, sickness, theft, injury, or death. The company reserves the right to cancel trips or alter services due to unavoidable circumstances. Extra costs due to changes will be the client's responsibility.
N: HEALTH
The client is responsible for ensuring they are fit to participate in the safari. A medical certificate is required for passengers over 65 years old.
O: FACTORS OUTSIDE THE COMPANY'S CONTROL
The company is not responsible for delays or changes caused by factors such as bad weather, road conditions, political instability, natural disasters, or accidents.
P: AIRLINE RESPONSIBILITY
Airlines are not responsible for events that occur when passengers are not on board their flights. The contract between the passenger and the airline applies during the flight portion of the trip.
Q: MARKETING AND PUBLICITY
Safari Group Tanzania may use photos and videos taken during tours for marketing and promotional materials. Clients consent to this use unless stated otherwise.
R: BINDING CODE AND COMPLIANCE
The company’s guide/driver’s decisions are final. Clients must comply with all laws, customs, and foreign exchange regulations of the countries visited.
S: RISK
Clients accept the inherent risks of traveling and participating in safari activities. The company is not liable for injury, loss of life, or property damage resulting from unforeseen events during the tour.
T: PRICE INCREASES
Prices may increase if government taxes or park fees rise, even after a booking is made.
U: CONSENT
Payment of the deposit or any part of the booking fee signifies consent to all provisions of these Terms and Conditions.
V: AGE LIMITS ON SAFARIS
Consult with us regarding age policies at booking. False age declarations may result in termination of the safari without compensation.
